How to set up Invoice Letter

How to Set Up Invoice Letters

1. Invoice Letters Overview

An Invoice Letter is a PDF template used for invoices sent for scheduled payments.

When Invoice Me is available as a payment method on the Merchant Facility, a donor can select it at checkout and receive an email with information about paying later. For scheduled payments using Invoice Me, an email with the invoice PDF attached is sent to the donor.

For more information about configuring Invoice Me and other pay later options, see How to set up Checkout & Pay Later.

2. Creating an Invoice Letter

  1. Go to the Letters tab.
  2. Select New.
  3. Select the Invoice record type.
  4. Enter the invoice letter details and save.
  5. Add the invoice body text and any other required details.

The remaining setup and layout options are the same as for a receipt letter. For guidance on configuring the letter body, images, address, organisation details, totals, fonts, and other options, see How to set up Receipts/Letters Overview (Step 2 and 3).

3. Sending Invoice Letters for Scheduled Payments

To send the correct invoice PDF with scheduled payment emails:

  1. Create an Invoice Letter (See Step 2).
  2. Link the Invoice Letter to the Payment Form submitted by the donor. Invoice Letters can only be assigned at the Payment Form level.
  3. Make sure the Payments2Us Payment Txn Flow: Send Payment Schedule Invoice flow OR Send Payment Schedule Invoice (Managed) workflow is active. (The workflow and flow should NOT be active at the same time.)

4. Testing the Invoice Email

To test the email body and attached invoice:

  1. In Salesforce, go to Setup > Email Templates.
  2. Open Payment Schedule Invoice (Managed).
  3. Select Edit Template to update the email body.
  4. Use Send Test and Verify Merge Field to send a test email to your own inbox.
  5. Check the email body and confirm that the expected invoice PDF is attached.
