Sync Payments to Xero

This feature will be available in a version 10.0 of Payments2Us. Keep an eye on release updates

1. Create Payment in Salesforce

In this feature now new Payments can be created in Salesforce instance and then synced with Xero. Following are details:

  1. Click on the "Xero Payments Tab".
  2. Press "New" button.
  3. New payment record should be linked to an account that is already synced with Xero. (Xero Account should be of type 'BANK')
  4. New payment record should be linked to an invoice that is already synced with Xero or marked for xero sync.
  5. Populate other information like Payment Date, Amount/Bank Amount etc. and save the record.

2. Mark Payment for Syncing

When ready to send to Xero:

  1. Firstly, mark the parent invoice of the new payment for Xero Sync.
  2. Next go to the new Xero Payment record.
  3. Press the "Mark for Xero Sync" button
  4. Confirm your action by pressing the "Save" button.
  5. Note, this does NOT immediately send to Xero, you need to do the next step of "Send Selected Payments to Xero"

3. Send Selected Payments to Xero

  1. Navigate to the Xero Settings Tab.
  2. Click the "Sync Invoices" button.
  3. Press Save to confirm Payments sync.

This process will look for all invoices that are marked for syncing and new Payments that have never been synced before and selected for Payment Sync (field "Send to Xero" is selected) and will send those details to Xero.

The Sync process will update the Xero Payment fields:

  • "Xero Payment ID" with the Xero Payment GUid
  • "Xero Invoice ID" with the Xero Account GUid.
  • "Xero Invoice ID" with the Xero Invoice GUid.
  • "Xero Updated Time" with the date/time the last Sync was run.
  • "Status" is set as per the status of Xero payment record.

The process will run in the background and may take a few minutes to complete.

If there are any major errors, then will appear in the Payments2Us Errors Log.
